POSITION : Secretary/Receptionist
190-day work year
7:30 to 3:30 work day
LOCATION: Yanbu International School
PREFERRED QUALIFICATIONS:
- High School Diploma
- Recent computer experience - database/word processing/spreadsheet/MS Office
- Strengths in confidentiality, organization and public relations
- Ability to operate office equipment
- Excellent communication skills
- Excellent English language competencies in written and oral form; Arabic language skills extremely beneficial
JOB RESPONSIBILITIES:
- Perform reception duties and be the first point of contact with school visitors
- Provide customer service, through accurately addressing questions and concerns, analyse the need for information, etc…
- Direct visitors to appropriate school personnel to address specific needs
- Communicate messages to appropriate personnel
- Possess sound knowledge of YIS School, operations, staff, etc…
- Liaison with ISG Human Resources for YIS administration
- Maintain human resource records on site in conjunction with administration
- Coordinate communication between ISG an YIS
- Organize YIS substitute staff
- Receive telephone calls from staff re sickness and arrange substitute cover
- Schedule of all substitutes as needed
- Creation and maintenance of substitute records to ensure accuracy
- Preparation and maintenance of monthly time cards for substitutes, security and other classified personnel in accordance with an established ISG work calendar
- Greet substitutes, provide substitutes with necessary information for that day (i.e. lesson plans, schedule, pertinent information), exit substitutes from day of service at YIS
- Distribute and process mail
- Provide administrative support where required to the Principal and other school staff
- Organize and coordinate staff travel
- Manage aides schedules
- Liaise with Royal Commission transportation services
- All other duties as assigned by the Principal
